FLOW is an internal business application operated by Malmo Ltd, a company registered in England and Wales. It is used solely by Malmo Ltd and its appointed accountant to manage our own company bookkeeping. It is not offered to the public. For data protection purposes, Malmo Ltd is the controller of the data processed by the Application. Contact: admin@malmoltd.co.uk.
The Application does not collect data from members of the public, does not use cookies for tracking or advertising, and does not sell or share data with third parties for marketing.
Data is used only to categorise, review and reconcile Malmo Ltd's own accounting records, including generating category suggestions and completeness checks. Excerpts of transaction data may be processed by an AI service provider (Anthropic) solely to generate those suggestions; such data is not used to train third-party models.
Data is stored on Malmo Ltd's own systems in the United Kingdom. QuickBooks access tokens are stored securely and used only to communicate with Intuit's API. We do not store QuickBooks passwords.
Records are retained for as long as required for accounting and UK tax compliance. The QuickBooks connection can be revoked at any time from the Application or from Intuit's connected-apps settings, after which the Application can no longer access QuickBooks data.
Access to the Application is restricted to authorised users. Connections to Intuit and other services use encrypted HTTPS. API credentials and tokens are held in restricted storage.
Individuals whose personal data appears in our accounting records (for example supplier contact names) have rights under UK GDPR, including access and correction. Contact admin@malmoltd.co.uk to exercise these rights.
